Option 1: ChatGPT record mode

Record mode turns ChatGPT into a meeting recorder. You start a recording in the Mac app, it transcribes as you talk, and when you stop, it writes notes you can turn into emails, plans or follow-ups.

According to OpenAI's help center, record mode:

  • runs only in the ChatGPT desktop app for macOS, on Plus, Pro, Business, Enterprise and Edu plans;
  • records up to 4 hours per session, then stops and writes the notes;
  • labels speakers, and you can rename a generic label like "Speaker 1" afterwards;
  • deletes the audio after transcription and doesn't use it to train models;
  • works best in English today.

Before you record anyone, tell them and check the rules where you are. Recording laws differ by place, and a meeting is a bad moment to find that out.

Option 2: paste a transcript into ChatGPT

If you're on Windows, on your phone, or on the free plan, this is the way. Most meeting platforms can save a transcript of a recorded meeting; turn that on, download the transcript after the call, and paste it into ChatGPT with one of the prompts below.

Three things make the output better:

  1. Say who was there and what the meeting was for. "Weekly product sync, Maya (product), Tom (support)" saves ChatGPT guessing names from the transcript.
  2. Cut what doesn't matter first. Delete the small talk and the five minutes of screen-sharing trouble. Less filler in means less filler out.
  3. Ask for a fixed format. The same headings every week make notes easier to scan and compare.
  4. Split long meetings. If the transcript is too long for one message, paste it in parts, by hour or by agenda item, and ask for notes on each. Then ask for one combined summary at the end.
  5. Reuse the prompt for recurring meetings. Keep your prompt in a document and paste the same one every week, so this week's notes line up with last week's.

On personal plans, check the "Improve the model for everyone" setting under Settings, then Data Controls. When it's off, new conversations aren't used to train OpenAI's models (OpenAI's data controls FAQ). If the meeting was confidential, check your company's rules before pasting it anywhere.

Follow-up email

Write a short follow-up email to the attendees of this meeting. Include the decisions, the action items with owners, and the next meeting date if one was set. Plain text, no bold, under 150 words. Transcript: [paste]

The "write 'No decision' instead of guessing" line matters most. If nothing was decided on a call, the recap should say so; invented action items are worse than none. Where ChatGPT meeting notes need checking

ChatGPT writes fluent notes, and fluent isn't the same as correct. Before you send, check four things against the meeting:

  • Names and owners. Speaker labels get mixed up, especially when people talk over each other.
  • Numbers. Prices, dates and percentages are the easiest details to get slightly wrong and the most expensive when they are.
  • Decisions. "We should look at moving the launch" is not "we moved the launch".
  • What's missing. A summary can drop the one objection that mattered. Skim the transcript for anything you'd be embarrassed to leave out.

Can ChatGPT write meeting minutes?

It can draft them. Minutes are a record of what was decided and who will do what, so the prompt above with Decisions and Action items is a good start. For formal minutes, such as for a board, you also need attendance, quorum, each motion and the vote result, and someone has to review and approve them.
