Follow up email after sales call: a template and 3 examples
By The unfill.io team · · 6 min read
Short answer
Send a follow up email after a sales call the same day. Recap what the buyer said in their own words, list what was agreed and what you owe them with dates, and end with one next step that has a day and time. Keep it short enough to read on a phone, and send it as plain text.

A good follow up email after a sales call does three things: it shows the buyer you listened, it writes down what both sides agreed, and it makes the next step easy to say yes to. Below is a follow up email to a sales call that you can copy, three shorter versions for common situations, and how to write your own.
Follow up email after sales call: a template to copy
Replace everything in brackets. Delete any line you have nothing real to put in.
Subject: [Their company] + [your company]: next steps from [day]'s call
Hi [first name],
Thanks for the time today. Here's what I heard, so you can correct anything I got wrong.
Where things are: [their situation in one sentence, in their words].
What's in the way: "[the problem or objection, quoted as they said it]"
The number: [the figure they gave: hours a week, cost, team size, deadline].
What we agreed:
- [Agreement]
- [Agreement]
What I owe you:
- [Item], by [date]
- [Item], by [date]
Next step: [meeting or action] on [day, date, time] with [names]. The invite is on its way.
[Your name]

The quoted line does most of the work. In a recorded sales-training call, the line that mattered was the buyer explaining it wasn't about the product working, it was about time. Notes would have summarised it away. As a quote slide, it was the most forwardable slide in the deck, and it belongs in the email for the same reason.
Follow-up email after a discovery call
After a discovery call, the buyer wants proof you understood the problem before you pitch anything.
Subject: Your [process] problem, and Thursday's demo
Hi [first name], thanks for walking me through [process] today. What I heard: "[their problem, quoted]", and it needs fixing before [their deadline]. You mentioned [person] would want a say, so I've suggested Thursday at 2pm for a 30-minute demo with both of you, focused only on [their problem]. Does that time work?
Follow-up email after a demo
After a demo, tie what you showed to what they asked for, and answer anything you couldn't answer live.
Subject: The answers from today's demo
Hi [first name], thanks for the time today. You asked whether [feature] handles [their case]. It does: [one-sentence answer]. The other open question was [question]; [answer, or when you'll have it]. Next step from our side: [proposal / trial / pricing] by [date]. From yours: [what they agreed to do]. Shall we book 20 minutes on [date] to go through it?
Follow-up email after no response
No reply often means busy, not no. Make it short, and make replying easy.
Subject: Re: [original subject]
Hi [first name], following up on the [proposal / demo / question] from [date]. Is [the problem they described] still a priority this quarter? A one-word answer is fine. If now isn't the time, say so and I'll stop filling your inbox.
If that gets no answer either, send one last note saying you're closing the file, and leave the door open. A follow-up that gets ignored three times is a reply.
How to write a sales call follow up email
Every good version follows the same steps, and the template has them in order.
- Send it the same day. The call is fresh for both of you. Write it before the next call starts, or schedule it for the morning with Gmail's schedule send or Outlook's delayed delivery.
- Use their words. Quote the problem or objection the way they said it. Follow-up templates fail because they're generic, and the follow-up that works uses the buyer's own words. "Better reporting" is your summary; "I rebuild the same spreadsheet every Monday" is theirs.
- Include the number. If they gave you a figure (hours, cost, headcount, a date), put it in. It's the line they'll copy into their own email to their boss.
- Separate agreements from homework. "What we agreed" and "What I owe you" are different lists. Put a date on every item you owe.
- Ask for one thing. One next step, with a day and a time. "Let me know your thoughts" is not a next step.
- Keep it short and plain. Five to ten lines, no attachments unless they asked, and no formatting that might break when they forward it.
Why did the follow-up email always get a reply? It knew how to close the loop.
What to leave out
- A recap of everything you said. They were there.
- A product tour. Link one page that answers their question, not the homepage.
- "Just checking in" with nothing new. Every follow-up should add an answer, a date or a decision.
Subject lines for a sales follow-up
The subject line should say what's inside, so it's easy to find later.
| Situation | Subject line |
|---|---|
| After a discovery call | Your [process] problem, and Thursday's demo |
| After a demo | The answers from today's demo |
| Sending pricing | [Their company] pricing, as discussed |
| Several people on the call | Recap and owners from [day]'s call |
| No response | Re: [original subject] |
Replying in the same thread for the no-response email keeps the context one scroll away.
Follow up email after meeting with a client
The same structure works after a meeting with an existing client: what they said, what was agreed, who owes what by when, and the next date. The difference is tone. A client already trusts you, so cut the selling and lead with the decisions. If several people from their side were there, name the owner on each action item so nobody assumes someone else has it. For internal meetings, our guide to writing meeting minutes covers the fuller record.
Writing the follow-up from a recording
If you record your calls (with permission), you don't have to rebuild the email from memory. unfill.io turns the recording into a follow-up email draft and an editable PowerPoint built from what the buyer said:
- Upload the recording, rename the speakers to the buyer and champion, and uncheck the small talk.
- Pick the Sales follow-up deck type. You get the deck and a follow-up email draft to edit before sending.
- A 19-minute sales call produced a 14-slide sales follow-up deck plus email in about 56 seconds of generation.
Uploaded recordings are automatically deleted about 24 hours after upload. See how the sales call follow-up works, or try 2 decks free, no card required (pricing).
When unfill.io isn't the right tool: if you didn't record the call, or you need the email while still on it. It works from a recording after the call, with no Zoom, Meet or Teams integration and no live recording. Without a recording, the template above and your notes are the fastest route.
Questions
How soon should I send a follow-up email after a sales call?
The same day, while the call is fresh for both of you. If the call ends late, write it straight away and schedule it to send the next morning.
What should a follow up email to a sales call include?
What the buyer said, in their words, any number they gave, what was agreed, what you owe them with dates, and one next step with a day and time.
How long should a sales follow-up email be?
Five to ten lines. It should be readable on a phone without scrolling. Put detail such as pricing or a proposal in a separate document if they asked for one.
What is a good subject line for a sales call follow-up email?
One that says what's inside, such as "The answers from today's demo" or "Recap and owners from Tuesday's call". It should be easy to find in their inbox later.
How many times should I follow up after no response?
Two or three times, spaced several days apart, each adding something new. Then send a short note saying you are closing the file, and leave the door open.
Should I send the follow-up email if the call went badly?
Yes. Thank them, write down the objection as they said it, and either answer it or say you'll come back with an answer by a date. If there is no fit, say so politely.
Can AI write my sales call follow-up email?
It can draft one if it has the call itself. From a recording, unfill.io drafts the follow-up email and a deck from what was said. Read and edit any draft before sending it.
